Review Case Logs As Preceptor

The Case Log feature allows students to enter their clinical experiences and track patient encounters. When students submit their Case Logs, you can review them (and approve them if required). You can also pull a report and filter by your specific needs.

Step 1:

From your Home Page, within the Preceptor Notifications table, click the "You have 6 Case Log(s) to review" button.

You can also access the Case Logs by clicking the "Case Logs" button on your navigation bar.

NOTE: If you do not see the Case Logs button in your navigation bar, click "More" and from the drop-down click "Case Logs".

Step 2:

On the Manage Case Logs page, find the appropriate Case Log Type (you may have more than one type depending on the Institution or if you are connected to multiple locations), then click the "Case Log Type Link".

Case Logs Table

The Case Log Table is filtered by Requires Attention and Historical.

Step 1:

If the Case Log requires approval, click the "Requires Attention" button.

Step 2:

On the Manage page, click the "Edit" (pencil icon) button in the Actions column.

Step 3:

On the Case Log Detail page, review the Log as needed.

Scroll down to the bottom of the screen. Here you can enter any notes in the "Preceptor Notes" area and then set the Approval to either 'Approve', 'Deny', or 'Needs Info'.

NOTE: The 'Needs Info' selection will send the Log back to the member and allow them to review and change their Log if necessary. While selecting 'Approve' or 'Deny' locks the log and continues the approval process.

Once you selected the approval action and entered any notes, click one of the following:

  • "Save" to save the Log and exit.
  • "Save & Next" to save the Log and move to the next Log requiring Attention.
  • "Skip" to move to the next case log that requires Attention.

Historical Logs

If you want to see further details of Logs already submitted/approved while on the Case Logs table, click the "Historical" tab to change your view.

Click on the "View" (eye icon) button under the Actions column.

Case Log Reports

Step 1:

From your Home Page, click the "Case Logs" button on your navigation bar.

Step 2:

Click on the "Case Log Type" link.

Step 3:

Click on "Case Log Report" at the top of the Case Log table.

Step 4:

Here, you will see details and run a report of the case logs you have connected with (based on your rotations).

You can filter your results using the various filter and drop-down menus, including:

  • Member
  • Encounter Date - Start
  • Encounter Date - End --Course
  • Rotation
  • Clinical Site
  • Rural Visit
  • Underserved Area/Population
  • Group Encounter

To Apply filters: Select what you want to filter by and click "Submit."

Step 5:

To Print or Export the Case Log Report, click the "Print" or "Export" button located above the results.
